Privacy Policy
Last updated October 10, 2026
TurnMyRental ("we", "us") provides turnover scheduling software for short-term rental owners. This policy explains what we collect, why, and what we never do with it. For legal or data-protection correspondence, contact us at support@turnmyrental.com and we will identify the operating entity.
Information we collect
- Account information: your name, email address, business name and time zone, and your mobile number if you choose to give it. When you agree to receive texts at that number, we keep a record of the time, the wording you agreed to, and the IP address and browser it came from.
- How you found us: if you arrived from one of our ads or posts, we save the campaign tags and the click ID in that link, the page you landed on and the site that referred you.
- Billing: your plan and payment history. Card details go straight to our payment processor, and we never see them.
- Property and booking data: property details and reservation dates obtained from calendar feeds or property management systems you choose to connect.
- Guest booking details: when you connect a calendar or property management system, we receive each reservation's dates, and the feed may also include the guest's name and party size. We keep only the dates, the booking's status and the site it was booked on, and we use them only to schedule cleanings. We do not store guest names or party sizes, and we never contact guests.
- Cleaning contractor contact details: the contractor's name, which the property owner supplies, and the contractor's mobile number, which only the contractor themselves can submit, via the consent form. With that submission we also record the time, IP address and browser it came from, which we keep as evidence that the contractor consented to be texted. We keep that evidence for four years after the last message to that number, as described under Retention and deletion, and we never use it to track anyone.
- Text messages: the texts we send and receive, with the numbers involved and their delivery status. A contractor's replies about a job can be seen by the property owner who assigned it.
- Job records: checklist completions, photographs uploaded by contractors, and timestamps.
- Checklist requests: if you ask for our checklist on our website or through a form on Facebook or Instagram, we collect your email address, an optional first name, and any answer you give about how many properties you manage. We use them to send the checklist, up to 9 follow-up emails over 90 days and at most one offer for new hosts, each with a one-click unsubscribe.
- Security records: when you sign in, sign up or request the checklist, we keep your IP address for about an hour to stop abuse. Our hosting provider's service logs, which we use to fix faults, can briefly contain IP addresses, email addresses and phone numbers.
- Visitor counts for this website: to know roughly how many people visit, our server combines your IP address and browser type with a random value that changes every day, and keeps only the scrambled result, which pages were viewed, and the site or ad link you arrived from. Your IP address is not saved with the count, no cookie is used, and the random value is deleted daily and never copied into our backups, so the result cannot be traced back to you or connected to a visit on another day. The only other copy is in our database provider's 30 day recovery history, which we use only to recover from a fault.
SMS Communications and Consent
TurnMyRental sends SMS text messages to cleaning contractors regarding cleaning jobs assigned to them. Contractors opt in themselves on a web form, by entering their own mobile number and ticking a consent box that is unchecked by default. No one else can submit a number on their behalf, and no messages are sent before that form is completed. The opt-in form can be viewed at turnmyrental.com/join-example.
We also text account holders, at the mobile number they enter and agree to receive texts on, about their own properties. All of our texts are transactional and none are marketing.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support of the services we provide, such as our SMS delivery provider, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Message frequency varies based on job volume. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for assistance. You can also ask in your own words: a clear request such as "stop texting me" takes effect right away, and our support team reviews other messages that our system flags as possible requests to stop and acts on them within one business day. To be sure a request takes effect right away, reply STOP. Reply START to opt back in after opting out. Carriers are not liable for delayed or undelivered messages. Our full SMS terms are at turnmyrental.com/sms.
How we use information
We use the information above to operate the service: to schedule cleaning jobs, notify contractors of work assigned to them, notify property owners of job status, and provide support. We do not sell personal information. We use a limited amount of it to measure and target our own ads on Facebook and Instagram, as described under Sharing. We never use information about your properties, cleaners, guests or bookings for advertising.
Sharing
We share data only with service providers that process it for us. They are Twilio for text messages, Resend for sending email, Google for our own email inbox, Stripe for payments, Cloudflare for hosting, database, photo storage and backups, Anthropic for the AI assistant we use to investigate faults and support requests, and Meta for the advertising measurement described below. We receive booking data from the calendar or property management system you connect, and we do not send your data back to it. We may also disclose information when the law requires it, to protect people or the service, or to a successor if our business is sold, and this policy would continue to apply.
One more: if you click one of our Facebook or Instagram ads and create an account during that visit, we tell Meta that the ad led to a signup, using the click ID Meta itself added to the ad link, the time, your browser's user agent (which names your browser and operating system) and an internal reference number for the signup, so we can measure which ads work. We do this only for a click on one of our paid ads, never for a click on a post. We do not send Meta your email, name, phone number, IP address or anything about your properties, cleaners or bookings. See Cookies for details.
If you ask for our checklist, on our website or through a form on Facebook or Instagram, we may also give Meta a scrambled (SHA-256 hashed) copy of your email address so our ads can be shown to similar people on Facebook and Instagram. If you arrived on our website from one of our ads there and ask during that visit, we send it when you ask, together with Meta's click ID, the time, your browser's user agent and an internal reference number for your request, so we can measure which ads work. To find similar people, we give Meta, from time to time, a list of the people who asked for our checklist, with a scrambled copy of each email address and first name and the country, United States. Meta matches the scrambled values against its own users. We never share the plain address or name. Meta keeps the people it matched as an audience in our Meta ad account until we delete it. If you unsubscribe from our emails, or we delete your address, we leave you out of every list we prepare afterwards, but a list we already gave Meta does not change.
Staff access to your account
A small number of authorised TurnMyRental staff can open a read-only view of your account to investigate a problem, most often one you have reported to us. We do this to diagnose faults, answer support questions, and investigate suspected abuse or non-payment.
Some specifics, because "staff may access your data" is usually where policies stop being useful:
- The view is read-only. Staff cannot send messages to your contractors, change your billing, alter your login details, or delete anything while viewing your account.
- Each session expires automatically after 30 minutes.
- Every read-only session is logged, including who opened it, whose account it was and when, and that record is kept even if the account is later deleted.
- Staff never see your password, because there is no password: sign-in is by emailed link only.
To run billing and support, authorised staff can also see a list of accounts showing each one's name, email address, mobile number, plan and activity counts, and can open an account summary showing your property names, your cleaners' names and numbers, connection status and payment history. Opening an account summary is logged in the same way.
You may ask us at any time whether your account has been accessed this way, and we will tell you what the log shows. Write to support@turnmyrental.com.
Retention and deletion
We keep account data while your account exists. Checklist photos are deleted 180 days after the clean is finished, or 180 days after the day of the clean if its checklist was never finished, unless a problem reported on that clean is still open.
When you close your account in Settings, we immediately delete your account, with your name, email address and mobile number, and your properties, bookings, checklists, cleaners, jobs, messages and photos. We also delete your calendar links and property management connections, including any credentials you gave us for them. We remove your address from our checklist email list, together with an earlier sign-in address of yours if it was on the list when you changed it. A few records remain:
- We keep a record of each text consent (the number, the wording agreed to, the time and, for consent given on our website, the IP address and browser) and of each opt-out, for four years after the last message to that number.
- Numbers that opt out stay on a suppression list, and we do not text them again unless that number replies START, UNSTOP or YES (a reply of just "Y" counts as YES). The only texts such a number still gets from us are the confirmation of its opt-out and our answer if it texts HELP.
- We keep a record that the account was closed and of any staff access to it, with the account's email address, so that we can still tell you what the log shows.
- If a phone number on your account is also on another account, for example a cleaner who also cleans for another host, we keep the texts we exchanged with that number that we could not tie to one account.
- Stripe, our payment processor, keeps its own records of your payments and billing details, as financial rules require.
- Twilio, our text message provider, keeps its own log of every text we sent and received, with the message, both phone numbers and whether it was delivered. Resend, our email provider, keeps its own log of the emails we sent. Each keeps its log under its own retention rules, and closing your account does not delete it.
- Meta keeps what we already sent it about an ad you clicked, under its own rules, and keeps any customer list we gave it, as described under Sharing, until we delete that list.
- Our hosting provider's service logs, which we use to fix faults, can briefly hold your email address or phone number.
- Emails about your account that reached our own email inbox, which Google hosts, stay there until we delete them. They include the note we receive when you sign up, with the name, email address and mobile number you signed up with and how you found us, our own alerts about your account, and any email you sent us.
- If a number that was on your account texts us after the close, and no other account holds that number, we delete the text, and any reply we sent to it, within two days.
Copies of deleted data remain in our nightly backups, which we keep for 31 days, and in our database provider's recovery history, which it keeps for 30 days. That history also holds, for 30 days, what we delete from our database on a schedule, such as the IP addresses we keep for about an hour. We use both only to recover from a fault.
To investigate a fault or answer a support request, we sometimes copy data from our database to our own computer and work on it with Anthropic's AI assistant, which sees the data it works on. Those copies, and our notes of that work, which can include data we looked at and which we also back up, are not deleted on a fixed schedule, and closing your account does not delete them. Anthropic keeps what its assistant saw under its own rules.
If you stop using the service without closing your account, we keep your data until you ask us to delete it. If you asked for our checklist, we keep your address until you ask us to delete it, and after you unsubscribe we keep it only so that we do not email you again.
Your choices
You can close your account and delete its data yourself in Settings. You can also email support@turnmyrental.com to ask what personal information we hold about you, to get a copy of it, or to correct or delete it. We may ask you to confirm the request from the address on the account, and we will respond within 30 days.
Cleaners may ask us to delete their number and message history. We still keep the record of their consent and of any opt-out, as described above, and a number that opted out stays on our suppression list. Cleaners may also opt out of messages at any time by replying STOP.
Guests should contact their host, who controls their booking data, and we will help the host respond. Every marketing email has a one-click unsubscribe.
Children
The service is for businesses and is not directed to children. We do not knowingly collect information from anyone under 16.
Security
We use encrypted connections, we encrypt property management credentials at rest, and we limit staff access as described above, although no system is perfectly secure.
Where data is processed
Our providers store and process data in the United States and may process it in other countries.
Changes
When we change this policy, we will update the date above, and we will email account holders before any material change takes effect.
